Microsoft SharePoint Online is a powerful cloud-based platform for knowledge collaboration, with a multitude of features and tools that allow a high degree of customization. While having all this power at your disposal is great, choosing the right set of libraries, web-parts and workflows for a specific task can be, well… less than straightforward.
Here are some suggestions for using out-of-the-box (OOTB) SharePoint features to boost productivity:
- There are many ways to keep up-to-date on a list of items. Whether it’s a contact list or document library, you can monitor changes made to the list by setting alerts. Email alerts in particular can easily bring to your attention any changes made to these lists.
- Subscribing to a list’s RSS feed lets you use any RSS software (including most popular web browsers) to track changes made to it. Modified items appear as “unread”. Click on a link in a list’s RSS feed, and you’re taken straight to that item.
- Use either alerts or RSS feeds with document libraries to keep track of document submission deadlines for projects (or courses) you’re managing. Provide submitters with the URL of a document library and set alerts to notify you every time a document is uploaded or overwritten. You’ll know with certainty when each document was received.
